Use Case: Requesting a Reschedule

How to request rescheduling a live session when you cannot attend at the originally scheduled time.

Scenario

You have a live session scheduled with your teacher, but you need to move it to a different time.

Prerequisites

  • A scheduled live session in your calendar
  • Rescheduling must be enabled by your teacher (not all teachers allow it)
  • Sufficient notice -- most teachers require at least 24 hours advance notice

Frequent rescheduling can disrupt your teacher's schedule and affect your learning consistency. Reserve reschedule requests for genuine conflicts.

Step 1: Access the Reschedule Feature

Open Your Schedule

Click "Schedule" in the sidebar or navigate to /platform/schedule.

Find the Session

Locate the live session you need to reschedule. Click on it to open the event details popup.

Click Reschedule

In the event details, look for the "Reschedule" button. If the button is not present, rescheduling is not enabled for this session -- contact your teacher via direct message instead.

You can also find the "Reschedule" option from the "Upcoming Live Session" card on the Dashboard.

If you don't see a "Reschedule" button, it means your teacher has not enabled student-initiated rescheduling for this session type. Send your teacher a direct message explaining your situation.

Step 2: Select a New Time

After clicking "Reschedule," the platform presents available time slots:

  • Available slots are based on your teacher's calendar and availability
  • Slots are displayed in your local timezone
  • Unavailable times are grayed out
  • Each slot shows the date, start time, and duration

If no time slots work for you, check back later or message your teacher directly to discuss custom timing.

Step 3: Submit the Reschedule Request

Select Your Preferred Time

Click on the time slot that works best for you.

Provide a Reason

Enter a brief explanation:

  • "Work meeting conflict on the original date"
  • "Traveling and won't have stable internet"
  • "Medical appointment that can't be moved"

Review and Submit

Verify the new date and time. Confirm that it displays correctly in your timezone. Click "Submit Request".

Confirmation

Your request has been submitted. The status of the session changes to "Reschedule Requested" on your calendar.

Step 4: Wait for Teacher Response

After you submit a reschedule request:

  1. Your teacher receives a notification via email and in-app
  2. Teacher reviews the request and checks availability
  3. Teacher responds with one of three outcomes:

Approved:

  • The session on your calendar automatically updates to the new time
  • No further action needed

Declined:

  • The original session time remains unchanged
  • The teacher may include a message explaining why

Alternative Suggested:

  • The teacher proposes a different time than what you requested
  • You can accept or decline the counter-proposal

Expected Timeline

  • Standard response time: Within 24 hours
  • If no response after 24 hours, send a follow-up direct message

Step 5: Confirm and Prepare

After Approval

  1. Check your calendar to verify the session appears at the new date and time
  2. Update any personal calendar entries or reminders
  3. Prepare as usual using the pre-session checklist

After Decline

  1. Try to attend the original session (partial attendance is better than missing entirely)
  2. If you absolutely cannot attend, let your teacher know via direct message
  3. Ask about recordings or makeup work to cover missed material

What Happens When You Miss a Session

  • The session is typically marked as a "no-show" or "missed"
  • Your teacher may note the absence in your course record
  • If the session was recorded, the recording may be available in your Studies section
  • Your teacher might assign makeup homework to cover the missed material

Habitually missing sessions without notice is disrespectful of your teacher's time. Always communicate if you know you'll be absent.

Troubleshooting

Reschedule Button Not Visible

  • Your teacher may not have enabled student-initiated rescheduling
  • The session may be too close to the start time (minimum notice requirements)
  • Contact your teacher via direct message

No Available Time Slots

  • Your teacher's availability may be limited this week
  • Check back later -- slots can open as the teacher updates their calendar
  • Message your teacher to discuss availability outside the shown slots

Request Stuck in "Pending"

  • Your teacher may not have seen the notification yet
  • Wait 24 hours, then send a polite follow-up via direct message
  • If the session is imminent, attend the original time if possible

Calendar Not Updating After Approval

  • Refresh the Schedule page
  • Check your email for the approval notification with updated details
  • Clear your browser cache if the old time still shows
