Live Session Scheduling
Create individual or group sessions, choose the right lesson context, and prepare students before class.
Who this is for
Teachers scheduling upcoming live lessons.
What this page answers
- How do I create a new live session?
- What do I need to choose for individual vs group lessons?
- How do I add a note for the student?
- What should I check before the session day?
Prerequisites
- at least one student or student group
- a course or lesson you can attach to the session
1. Create the session from Schedule
Open Schedule, start a new session, and fill in the essentials:
- course
- optional lesson
- date and time
- duration
- meeting type
Organization admins can use the teacher filter on Schedule to view one teacher's calendar at a time. This is useful when checking availability, reviewing workload, or helping reschedule a student's lesson.
2. Choose the right participant setup
| Session type | Participant setup |
|---|---|
| Individual | select a single student from your enrollments |
| Group | select multiple students or an existing student group |
Students cannot submit reschedule requests for group sessions. If a group session needs to move, update the date and time directly from the calendar.
3. Filter the lesson list
The lesson browser on the right side of the assignment dialog has two filter toggles:
- Only unassigned — when checked, hides lessons already assigned to the selected student or group. Helps avoid assigning the same lesson twice.
- Show continuable — when checked, reveals a "Continue from Previous" section above the lesson list. It shows past sessions with saved documents, so you can start the new lesson from where a previous class left off instead of using a fresh course lesson. See Continuing from a previous session for details.
Both toggles remember your preference across sessions (saved in browser storage).
4. Add context students need
When assigning a lesson, you can add an assignment note — a message for the student (up to 1,000 characters) that explains what the session is about and how to prepare. Click "Add note for student" in the assignment form to expand the note field.
Use the note to tell students:
- what the session will cover
- what to prepare or review beforehand
- whether there is related homework or follow-up work
The note is visible to students in multiple places:
- email notification they receive when the lesson is assigned
- calendar hover when they mouse over the lesson event
- lesson detail dialog when they click the event
- "Lesson Starting Soon" banner on their Dashboard
You can also edit the note later from the Edit Lesson dialog on the calendar.
5. Save and confirm the calendar entry
Once the session is saved, students receive the scheduling information through the platform and can see it in their own calendars.
6. Run a short pre-session check
Before the day of the class, confirm:
- the lesson you plan to use is ready
- the time and timezone are correct
- the right students are attached
- any group session has the right member list
If Missing Lesson Material Alerts are enabled for your school, your Dashboard can warn you when an upcoming lesson has no prepared material. Use the warning as a preparation checklist item before the session starts.
